Share a PowerPoint presentation without notes
When preparing a copy to share without speaker notes, keep the original presentation, work in a separate file, and check every slide. Hiding notes in the view is not the same as deleting them from the copy you share. Since the options for editing notes may vary depending on your PowerPoint version and interface, reopen the saved copy and verify it when you finish.
This guide focuses on keeping the slides while removing speaker notes from the PowerPoint copy you plan to share. Creating a PDF with notes or printing notes pages are different tasks. For those topics, see the guide to creating a PDF of PowerPoint with speaker notes and the guide to printing PowerPoint slides with notes.
First, create a separate copy to share
To preserve your original presentation, save the file you plan to share under a different name. In desktop PowerPoint, you can choose a file name and location by going to File > Save As. Microsoft explains that a presentation can also be saved in a different file format; see its instructions for saving your presentation file. For example, save the file as Proje_Sunumu_Paylasim.pptx, and make sure you are working with this copy throughout the process.
This step does not delete notes; it simply lets you work in a separate file. Before you begin, confirm the file name and where you saved it. If the save steps or menu names look different in your version, check your PowerPoint help information and the options on screen; do not assume a menu path not specified in the source applies to every version.
Check the notes on every slide in the copy
Open the copy you plan to share and move through the slides one by one. On each slide, find the area where speaker notes are displayed. If you can see and edit the note text, select and delete the text you intend to remove from the copy. After making the change, check that you are on the correct slide and in the correct file before moving on.
Verify separately that the notes area is empty on every slide; notes may appear on only some slides. If you cannot find the editing area or change the text, do not conclude that the file has been cleared. Check where the option to edit notes is in your version and view. If you cannot see the options in the menu, confirm them using the help page for your version or the application’s own interface.
If you are using the web version of PowerPoint
Microsoft’s explanation of how features behave in web-based PowerPoint states that speaker notes can be shown or hidden. The option to show or hide them is not, by itself, an option to delete notes. So do not interpret hiding notes in the web interface as removing them from the file.
If you see an option to edit and delete note text in the web version, reopen the saved file afterward and check the result. If no such option appears, that is not a definitive judgment that notes cannot be deleted in all web versions. Confirm the help information for your version and the options currently on screen; do not assume the copy you plan to share is free of notes until the process is complete. The web version saves your work automatically as you make changes; Microsoft states that there is no Save command in this version. The save options may differ in the desktop version.
Hypothetical example: a six-slide project presentation
Hypothetical example: Ece has a six-slide presentation titled “Purpose,” “Current status,” “Proposed approach,” “Timeline,” “Responsibilities,” and “Next steps.” Her speaker notes contain explanations she will use while presenting; she wants the copy she shares with her teammates to contain none of those notes.
Ece first saves the presentation separately as Proje_Sunumu_Paylasim.pptx. Then she opens the six slides in this copy one by one and checks the notes area on each slide. On the slides where she can edit the note text, she removes it from the copy she plans to share. She then saves the file using the save method available in her version. She reopens the file and checks the notes area on each of the six slides again. If she cannot see or edit the notes on any slide, she checks the help information and options for that version before assuming the file is free of notes.
Recheck the saved file
After completing the process, reopen the copy you plan to share and check all the slides from beginning to end. Confirm that the notes area is empty on every slide; checking only the first and last slides tells you nothing about the slides in between. Also review the slide content and layout to make sure they remain as expected.
This check is intended to verify that the speaker notes have been removed; it does not prove that other kinds of information in the file have also been removed. If your sharing purpose calls for a broader content review than checking notes, that is a separate check. If you will also share the file as a PDF, open and review the PDF separately; this guide does not guarantee how PDF export settings will affect the result.
Troubleshooting
I can’t find the notes area: Check the application help or the available menus to find where notes are displayed in your PowerPoint version and view. In the web version, information about showing or hiding notes does not, by itself, confirm that an option to edit and delete them is available.
I can’t edit the note text on a slide: Do not assume that notes have been deleted from that slide. Confirm the editing option for your version; without doing so, do not describe the copy you plan to share as free of notes.
I realized I’m working in the wrong file: Stop and check the file name and location. If you already created a separate copy, continue using it instead of the original file. That is why creating a copy and saving it under a distinctive name is useful.
Final checklist
- I created a separate copy to share, apart from the original presentation.
- I checked the speaker notes area on every slide.
- I removed note text I could edit from the copy I plan to share; where I could not edit it, I confirmed the options in my version.
- I saved and reopened the copy, then checked the slides again one by one.
- I confirmed that the file I will share is the correct copy.
Frequently asked questions
Can I just hide the notes without deleting them?
Hiding notes is not the same as deleting them from the copy you plan to share. If you want to give the recipient a copy that does not include notes, confirm that you can edit and remove the note text in your version, then check the saved file again.
Will deleting the notes also change my original presentation?
The method recommended in this guide is to create a separate copy first and work in that file. Check the file name and location before saving; this lets you confirm whether you are working in the original presentation or the copy you plan to share.
