To compare PowerPoint presentation versions and consolidate revisions from different contributors into a single master file, Microsoft PowerPoint's native Compare tool is used. When you share a review copy with reviewers, this method enables you to evaluate incoming feedback, slide-level text and object modifications, and added comments alongside your original file. You can merge the edits you find suitable into the main presentation while directly omitting those you do not approve simply by leaving their checkboxes unmarked.
Manually reviewing slide by slide the edits made by team members across different copies can cause lost time and overlooked details. Executing the comparison tool through its official steps helps manage revisions in presentation content in a controlled manner.
Pre-Comparison Requirements and Platform Limitations
Before you start comparing presentation files, you need to verify your PowerPoint version and operating system. The native compare and merge functionality is not supported across all platforms and editions.
According to official documentation, the compare and merge feature applies to PowerPoint 2016, PowerPoint 2019, PowerPoint 2021, PowerPoint 2024, and Microsoft 365 PowerPoint for Windows. However, Microsoft is retiring the Compare and Merge feature starting with version 2502 of Microsoft 365 PowerPoint for Windows. Although this feature will not be available starting with version 2502, it remains usable in earlier versions and existing files are not affected by this change. At this stage, Microsoft recommends using real-time online collaboration tools.
Furthermore, the Compare and Merge feature is not available in Microsoft 365 PowerPoint for Mac or Microsoft 365 PowerPoint for the Web. Users on these platforms must choose a Windows desktop edition that supports the feature to perform native comparison. If you encounter access issues when opening the file locally, you can refer to the steps in the PowerPoint not opening PPTX file guide.
Preparing and Sharing the Review Copy
For the comparison workflow to function properly, separate file copies must be established before the review process begins. Keeping the original file provides an untouched baseline against which you can evaluate changes once the review is complete:
- Create a draft of your presentation and save it as a local copy on your computer.
- Save a second copy of your presentation under a different name to a shared location such as OneDrive or SharePoint.
- Right-click the relevant file in OneDrive or SharePoint and select Copy link to obtain a link you can email to your reviewers.
- Ask reviewers to add comments directly to your slides and apply their feedback to the shared presentation copy.
If security blocks occur on files downloaded from shared links, you can consult the steps in the downloaded PowerPoint file not opening guide.
Compare and Merge Steps in the Original File
Once reviewers finish reviewing the shared copy, you can merge the modifications with the original file on your computer:
- Open the original presentation version stored on your computer.
- On the ribbon, click the Review tab, go to the Compare command group, and then click Compare.
- In the Choose File to Merge with Current Presentation dialog box that appears, locate and select the copy you saved to the shared location where reviewers worked, and click Merge.
When this action is performed, the Revisions task pane opens in the PowerPoint window. This pane displays all comments and changes made by reviewers.
Managing Changes in the Revisions Pane
The Revisions pane organizes revisions under two main headings: Slide Changes and Presentation Changes. Inspecting and deciding on reviewer edits is carried out through the following steps:
- If reviewers made changes to presentation content, these differences are listed under Presentation Changes in the Revisions pane. Click an item in the list to view the details of an edit in the slide body.
- Accepting Changes: To accept a change made by a reviewer, check the box next to the Other authors icon.
- Rejecting Changes: To reject a change, take no action. Edits whose checkboxes remain unselected are not added to the presentation.
- After specifying all desired changes, save the updated presentation file.
Reviewing and Clearing Slide Comments
If reviewers left comments on the slides, these notes appear under Slide Changes in the Revisions pane:
- To read comments in detail, click the Comments option located on the status bar at the bottom of the PowerPoint window.
- When a comment is left on a slide, a Comments icon appears on that slide. Double-click this icon to read the comment.
- In the Comments task pane, use Next to move to the next comment or Previous to return to the preceding one.
- To delete a comment, point your cursor at the comment and click Delete.
Real-Time Collaboration and Cloud Alternatives
As highlighted in the official source, because the Compare and Merge feature is being retired in Microsoft 365 PowerPoint for Windows version 2502, Microsoft recommends using real-time online collaboration tools.
When you host the file on OneDrive or SharePoint and share it by granting permissions directly to reviewers, team members can simultaneously work on the presentation and add comments. When you need to revert to previous versions or audit past changes, you can use the version history provided by cloud storage. For operational steps regarding inspecting earlier versions in the cloud, you can look at the recovering an old presentation from PowerPoint version history resource.
Example Scenario: Reviewing a Quarterly Revenue Presentation
To illustrate the application of the process, consider a hypothetical corporate audit example. A hypothetical Finance_Q3_Original.pptx file prepared by a finance officer was forwarded to a sales manager for review, and the sales manager saved their own copy as Finance_Q3_Review.pptx.
Executed Steps: 1. The finance officer opens the Finance_Q3_Original.pptx file on their computer. 2. Following the path Review > Compare > Compare, they select the Finance_Q3_Review.pptx file and click the Merge button. 3. Slide 3: Under Presentation Changes in the Revisions pane, a hypothetical data row added by the sales manager to the revenue forecast is listed. The finance officer clicks the item in the list, inspects the change on the slide, and accepts it by checking the box next to the Other authors icon. 4. Slide 5: It is seen that the sales manager deleted a header text. The finance officer does not want to accept this edit; they leave the box unchecked, and thus the original header is preserved. 5. By clicking the Comments button on the status bar, the posted notes are reviewed; resolved notes are pointed to and removed using the Delete command, and the file is saved.
Issues Encountered During Comparison and Their Solutions
The primary technical situations and points to verify when using the comparison tool are as follows:
- Compare Button Not Appearing: If you are using a Mac or Web version, or if your Microsoft 365 PowerPoint for Windows is version 2502 or later, the Compare tool will not be in the interface. In this case, you need to use PowerPoint 2016-2024 perpetual releases or pre-2502 builds, or switch to real-time collaboration methods.
- Unaccepted Changes Not Added to the Presentation: In the PowerPoint comparison tool, no edit is merged into the presentation unless its checkbox is selected. Check that the box next to the Other authors icon is checked for the revision you wish to include.
- Comment Icons on Slides: Even after changes are merged, comment icons left by reviewers remain on slides. Unneeded comments must be cleared from the Comments pane using the Delete command.
Presentation Comparison and Approval Checklist
Verify the following steps before finishing the comparison process:
- Was a local copy of the original presentation file preserved?
- Was the correct review copy chosen in the Merge dialog box?
- Were items in the Presentation Changes list in the Revisions pane reviewed one by one?
- Were the Other authors checkboxes selected for changes to be accepted?
- Were the checkboxes left blank for changes to be rejected?
- Were comments on slides reviewed and deleted from the Comments pane on the status bar?
- Was the updated file saved?
Is it necessary to click a separate button for rejected changes in the comparison tool?
No. In the PowerPoint Compare tool, there is no need to click a separate command to reject an edit. Edits without a checked box next to the Other authors icon are not added to the presentation.
How are comments in a review copy deleted?
You can open the Comments pane by clicking the Comments button on the status bar or by double-clicking the comment icon on the slide. You can remove a comment by moving your pointer over the note you wish to delete and clicking Delete.
