Learn how to configure PowerPoint audio settings. Adjust volume, automatic playback, trimming, and play across slides directly from the Playback tab.

Draw Editorial Team7 min read

Configuring PowerPoint audio settings is done through the Playback, Audio Format, or Audio tabs that appear on the ribbon when an inserted audio clip or speaker icon is selected on a slide. From these menu areas, playback options such as volume, start trigger, uninterrupted playback across slides, trimming, and hiding the icon during a show are configured directly.

Prerequisites for Editing Audio Settings

Before configuring audio settings, an inserted audio object must exist on the active slide. If you have not added audio yet, you can follow the steps to add audio files to PowerPoint to insert an audio file from your computer, or record audio directly on the slide if your device has an active microphone Add and record audio in PowerPoint.

When the audio clip or icon on the slide is not selected, the Playback or Audio Format tabs are not displayed on the ribbon. To edit settings, you must first navigate to the relevant slide in Normal view and click the audio icon to select it Add or delete audio in your PowerPoint presentation.

Accessing the Playback Tab and Basic Menu

When you select the audio icon on the slide, the Playback, Audio Format, or Audio tab becomes active on the ribbon. Audio options can be managed from the Playback tab or from the Audio Options group under the Audio tab Add or delete audio in your PowerPoint presentation.

To adjust sound level, click the Volume option on the Playback or Audio Format tab and specify the preferred setting suitable for your presentation environment. This ensures the level of background music or narration recordings is aligned with what the presentation needs to accomplish.

Configuring Start Options

To define how the audio file begins playing during the presentation, you can select the option that fits your presentation scenario from the Start drop-down menu on the Playback tab Add and record audio in PowerPoint:

In Click Sequence: Plays the audio file automatically along with the click action.

Automatically: Starts playing sound on its own when advancing to the slide containing the audio file.

When Clicked On: Plays sound only when clicking directly on the audio icon with the mouse.

If you want to check your audio hardware and operating system settings before the presentation, you can also review the verification steps in how to check PowerPoint audio output settings.

Play Across Slides and Background Music Settings

To prevent the audio file from being limited to a single slide and ensure it continues throughout the entire presentation, check the Play Across Slides option on the Playback tab Add or delete audio in your PowerPoint presentation.

If you want the audio to repeat continuously, select the Loop until Stopped box, which loops the playback until it is stopped manually by pressing the Play/Pause button. If you wish to configure continuous background playback across all slides with a single command, you can choose the Play in Background option.

If you do not want the audio clip icon to appear on screen during a slide show, check the Hide During Show checkbox on the Playback tab or in the Audio Options area on the Audio tab. According to official documentation, using this option is recommended only when you set the audio clip to play automatically.

Trimming Audio and Setting Fade Durations

PowerPoint offers a built-in trimming tool to cut the beginning or ending portions of an inserted audio file:

Select the Trim / Trim Audio option on the Playback tab.

In the window that opens, trim the audio file to your needs using the red and green sliders.

To create smooth transitions at the start and end of the audio, specify the Fade In and Fade Out times by changing the numeric values in the Fade Duration boxes Add or delete audio in your PowerPoint presentation.

Example Application: Company Annual Review Presentation (Fictional Scenario)

In this fictional scenario, an audio clip placed on the first slide of a corporate briefing presentation is configured to continue across slide transitions (duration and slide numbers in the example are fictional):

Slide Selection: Slide 1 is selected in Normal view, and the audio file is added to the slide via the Insert > Media > Audio or Insert > Audio menu.

Switching Tabs: Selecting the audio icon on the slide opens the Playback tab on the ribbon.

Trimming: The Trim Audio tool is opened; silence at the beginning of the track is cut with the green slider, and the excess portion is cut with the red slider.

Transition Times: The numeric value 2.00 is entered in the Fade In and Fade Out duration boxes.

Start and Loop Rule: Automatically is selected from the Start menu; then the Play Across Slides and Hide During Show boxes are checked.

Volume Level: From the Volume option, the preferred level is selected so it does not overpower the presenter's voice.

Possible Errors and Troubleshooting Steps

If you encounter unexpected behavior after configuring audio settings, verify the following steps:

Audio Icon Not Hidden During Presentation: Check whether the Hide During Show box is checked. Using this feature is recommended in scenarios where you set the audio to play automatically.

Audio Stops When Changing Slides: Make sure the Play Across Slides box on the Playback tab is enabled; otherwise, the sound remains confined to a single slide.

Audio Does Not Play At All: Check which setting is defined in the Start drop-down menu among Automatically, In Click Sequence, or When Clicked On; also verify the status of the Play/Pause controls on the slide.

You Want to Remove the Audio File: To remove the audio completely, simply select the audio icon on the slide and press the Delete key on the keyboard Add or delete audio in your PowerPoint presentation.

Final Verification Checklist

Before presenting the presentation file to the audience, you can apply the following checklist:

Was the audio icon on the slide selected and the Start parameter on the Playback tab (Automatically, In Click Sequence, or When Clicked On) verified according to the objective?

Was the Volume setting determined appropriately for the presentation environment?

Were the green and red sliders positioned at the correct points in the Trim / Trim Audio area?

If fading is needed, were the durations configured in the Fade Duration boxes?

If playing as background sound, were the Play Across Slides, Loop until Stopped, or Play in Background options checked correctly?

Was the Hide During Show checkbox checked for automatically played files?

Was the slide show launched to test that the audio starts on the intended slide and plays properly during transitions?
