To collaborate on a Keynote presentation with your team, you need to open the file in iCloud Drive and generate a collaboration link from the Share menu in the toolbar. The file owner can assign either editing or view-only permissions to participants. Up to 100 people can view and edit a shared presentation at the same time; all changes are synced simultaneously across the workspace via iCloud.
Collaboration Prerequisites and System Requirements
To initiate simultaneous team editing, the requirements of the Apple ecosystem must be fully satisfied. According to official Apple documentation, the essential prerequisites are as follows:
The presentation owner must be signed in with an Apple Account on their device and have iCloud Drive enabled for Keynote. As noted in the Intro to collaboration in Keynote guide, if an organizational Managed Apple Account is being used, the system administrator must enable external sharing permissions to allow collaboration with outside parties.
The minimum system versions that support collaboration are: a Mac running macOS Tahoe 26.0 (or later) with Keynote 15.4 installed; an iPhone or iPad running iOS or iPadOS 26.0 (or later) with Keynote 15.4 installed; an Apple Vision Pro running visionOS 26.0 with Keynote 15.4 installed. Additionally, Mac or PC users can collaborate using Keynote for iCloud via Safari 13.1 (or later), Google Chrome, or Microsoft Edge. Users on Android devices or older Apple devices that do not meet the minimum requirements cannot edit the presentation; they can only view it.
The maximum file size limit is set at 2 GB for standard users and 4 GB for Apple Creator Studio subscribers. If the presentation exceeds these limits, the file size must be reduced prior to sharing.
Creating a Share Link and Configuring Permissions
After opening the presentation, click or tap the Share button in the toolbar, then select "Share a Link" from the pop-up menu. In this window, two primary access parameters must be configured:
Access Scope: When "People you choose" is selected, participants must sign in with an Apple Account on iCloud or iCloud.com to open the presentation. When "Anyone with the link" is selected, anyone who obtains the presentation link can access the file.
Permission Level: For team members to make changes to slides, select "Can edit" on macOS or "Edit" on iOS or iPadOS. To prevent modifications to content, select "Can view or download" on macOS or "View and Download Only" on mobile systems. Furthermore, you can enable "Allow access requests" so external individuals can request permission to join the presentation.
Once the settings are configured, you can send the link to your teammates via Messages, Mail, or by copying the link.
Real-Time Tracking and Communication Tools
When collaboration begins, the Collaboration button appears in the toolbar. This panel allows you to monitor the live status of the presentation:
Participant List and Jump to Cursor: You can see the number of active participants currently on the server, and click or tap a name from the participant list to immediately jump to the slide area that user is working on.
Activity History: You can open the "Show All Activity" section to review recent changes. Tap the disclosure triangle to view detailed edits made across different locations by an individual participant; tapping a highlighted unread activity marks all activities as read.
In-App Communication: You can click the message icon in the toolbar to start a direct Messages conversation with team members, or use the audio or video icons to initiate a FaceTime call. Keynote on iCloud.com supports jumping to participant cursors, but does not include the activity stream or built-in communication buttons. On Apple Vision Pro, other participants can see your activity, but you cannot view their activity history.

Unsupported Features and Restrictions in Collaboration
When a Keynote presentation is opened for collaboration, certain structural and formatting editing tools become locked. As detailed in the Collaborate on documents in Keynote, Pages, and Numbers resource, the following actions cannot be performed while a collaboration session is active:
Changing slide size and changing themes.
Recording a slideshow, playing a previously recorded slideshow, adding or editing soundtracks, or clearing recordings and soundtracks.
Directly reducing the file size of the shared file via File > Reduce File Size (only a local copy can be reduced).
Dragging rows and columns between body and header areas in tables, or creating and editing custom cell formats.
Creating, deleting, or reordering styles; editing with Asian language Ruby; and replacing all instances of a font across the document at once.
If you need to apply one of these restricted actions, navigate to "Manage Shared Presentation" from the Collaboration menu, select "Stop Sharing," make the changes offline, and then share the presentation with the team again.
Example Scenario: Hypothetical Project Launch Deck
Suppose a two-person marketing team is preparing a 12-slide presentation titled "PlanX 2027 Launch" (the following roles and steps are hypothetical):
User A (File Owner, macOS Tahoe): Opens the presentation in the iCloud Drive folder and clicks Share a Link from the Share menu. Configures access as "People you choose" with permissions set to "Can edit," and sends the link to User B.
User B (Graphic Designer, iPadOS 26): Opens the invite notification, which launches the presentation in the Keynote iPad app. User B updates chart data on Slide 4 and product imagery on Slide 5.
User A tracks User B's colored selection frame and cursor simultaneously on Slide 4 on their Mac screen. Meanwhile, User A finishes the header copy on Slide 1. In the toolbar's Collaboration panel, 3 cell updates made by User B are highlighted as notifications; User A clicks this notification to jump directly to the changes on screen.

Offline Editing and Resolving Potential Errors
When encountering network or system-related situations during collaboration, follow these verification steps:
Offline Editing and Version Conflicts: If your internet connection drops, a cloud icon with a diagonal slash appears over the collaboration icon. You can continue working offline; once the device reconnects to the internet, changes will automatically sync to iCloud. If conflicting edits were made to the same object or slide, a conflict dialog appears on screen, allowing you to choose which version to keep. If you choose to keep multiple versions, the most recent one remains as the shared version. If another online participant deleted the object you edited offline, your offline edits will not be incorporated into the document.
Cannot Start Sharing Alert: Verify that iCloud Drive is turned on for Keynote. Ensure the file size does not exceed the 2 GB limit (4 GB for Creator Studio subscribers); if it exceeds the limit, reduce the size using a local copy before sharing.
Participants Unable to Access: If permissions are set to "People you choose," ensure the invited email address matches the participant's Apple Account. Managed Apple Account users should check with their IT administrator for approval regarding external collaboration.
Collaboration Verification Checklist
Before concluding team collaboration, verify the following steps:
- Click the Collaboration icon in the toolbar and ensure there are no unread changes remaining in the "Show All Activity" list.
- Review the access list from the "Manage Shared Presentation" window; remove permissions or switch to read-only mode for participants who have completed their tasks.
- If the presentation requires theme changes or slide size adjustments, stop sharing, make the edits locally, and then invite the team again.
Frequently Asked Questions
Can I change the Keynote slide size or theme while a collaboration session is active?
No. Themes and slide sizes cannot be changed while collaboration is active. To make these adjustments, access "Manage Shared Presentation" from the Collaboration icon, stop sharing, apply the change, and then share the presentation again.
Can team members without an Apple device edit a Keynote presentation?
Yes. Users on a Mac or Windows PC can join and edit the presentation using Keynote for iCloud via Safari 13.1, Google Chrome, or Microsoft Edge. However, users on Android devices can only view the presentation and cannot edit it.
